1. Individual or Open Group Booking 

Bookings can begin through numerous primary contact platforms and methods. You will be expected to pay for all experiences where possible in full. Where this is not possible a minimum of 50% deposit will be required and full cost to be settled as soon as possible before the Experience, Course or Event. Alternatively an agreed minimum deposit will be set between the participant/group leader and TIME4EXPERIENCE.

This will secure your place on the requested Experience. Upon receipt of the deposit you will receive a confirmation email from time4experience@gmail.com with your booking details, and a Booking Form that must be completed as soon as possible. You will not be able to participate in any booked Experience, Course or Event until all necessary documents have been completed and returned. Finally you will receive our Experience Specific Support Document, with further trip details and a reminder of our conditions.

2. Group Bookings 

We make every effort to minimise any non-refundable fees. There are occasions where we must commit to accommodation, equipment hire, permits and other services to support the preparation, provision and running of your experience. 

 

The person who has been designated group leader by their own organisation or is identified as such by the group, or is the person of main contact, or the organisation representative (official or non-official), or the person with whom we are in overall correspondence with, over the general organisation and  planning for the Experience Course or Event will be known as the ‘Group Leader’.

 

Once the request for a group booking has been made, we will provide the ‘Group Leader’ with details of where their group members can find further details specific to their Experience, Course or Event, and how to book or reserve their place.

 

By taking the role as ‘Group Leader’ for any booking, you are expressly agreeing and acknowledging that all deposits paid by any participant are non- refundable, and that any grievances that may arise from this are to be followed up the participant with the 'Group Leader'.

 

The Group Leader takes full responsibility for ensuring that the minimum number of each places has been booked by participants, and their agreed deposits have been made prior to an agreed cut-off date. 

 

If you are a participant who is booking on to a group booking, you accept and acknowledge that you will be personally responsible for completing full payment and accept all terms and conditions as an individual.

3. Minimum Numbers & Pricing Changes

Our costs are based on a minimum number of people in the group taking part on each trip. If the group is smaller or becomes smaller than this minimum prior to the Experience, Course or Event start date for whatever reason, TIME4EXPERIENCE reserves the right to cancel that Experience, Course or Event. A full refund of trip costs received to date (excluding admin fees) will be applicable. 

 

TIME4EXPERIENCE may offer the option to continue the trip with less than minimum numbers; however, a small group supplement may be applicable.

Where a small group supplement becomes applicable, we will aim to communicate this to you as soon as possible prior to your trip start date. You will be liable for any small group supplement fee.

 

All discounts and reduced pricing are applied at our discretion. These reduced prices apply solely to any new bookings and are non-transferrable, and any bookings that have already been confirmed are locked into their original price and are not entitled to the reduced pricing. This may be done in order to meet the minimum numbers required to run your chosen Experience, Course or Event. 

4. Risk

It is important to note that there are inherent risks to outdoor adventurous activities that may not be possible to eliminate completely without this having a detrimental effect on the Experience itself.

TIME4EXPERIENCE understands they have a responsibility to minimise risk where possible and do so through formal risk assessments and management procedures.

5. Professional Standards

All instructors and coaches that we use hold the necessary National Governing Body awards, and have relevant experience for all Experiences provided.

6. Insurance

TIME4EXPERIENCE LIMITED have their own public liability cover but this does not include any personal accident or cancellation insurance cover for the participant, nor do we accept any responsibility for any items lost, stolen or damaged whilst participating in our Experiences.

We recommend that you take out your own personal insurance cover, and that it covers you for the activities you are undertaking, personal liability, cancellation, curtailment and loss of luggage and personal effects. It may also be worth your while to confirm if this also covers pandemics and COVID-19 related issues that may arise.

 

7. Personal Health and Ability

​We politely remind clients and participants  that our courses often involve an element of strenuous physical activity. You have a personal responsibility to have an appropriate level of health and fitness to participate in your chosen Experience. 

We suggest that any person who has a medical condition that may be aggravated by participating in a physical activity, to seek professional medical advice before doing so, and that your attendance to the Experience is an acceptance to participate at your own risk.  

8. Health and Safety 

It is the responsibility of T4X to take all reasonable steps to reduce the risk of harm or illness to any participant whilst engaging in one of our Experiences. 

It is the responsibility of the client/ participant to make us aware of any  allergies, pregnancy, previous injuries (back, knees, ankles etc.), surgery or operations undergone, medications, dietary requirements, or anything else that may affect their participation in the Experience.

It is the responsibility of T4X to take all reasonable steps to reduce the risk of harm or illness to any participant whilst engaging in one of our Experiences. 

It is the responsibility of the client/ participant to make us aware of any  allergies, pregnancy, previous injuries (back, knees, ankles etc.), surgery or operations undergone, medications, dietary requirements, or anything else that may affect their participation in the Experience.

 

9. Alcohol consumption beyond legal limits, smoking or illicit drugs

Alcohol consumption beyond legal limits and illicit drug use is not permitted at any point whilst engaged in our activities, this begins from the meeting/pick up point to the finish point/drop-off point. We expect all participants who smoke to respect our guidelines, be polite and considerate and smoke in designated areas only set by any TIME4EXPERIENCE staff member.

 

It is fully at the discretion of your designated TIME4EXPERIENCE staff member or representative as to whether you or any other participant are deemed fit to participate and reserve the right to refuse participation, or stop participation of any person at no cost to TIME4EXPERIENCE.

10. Respect Policy 

We expect all participants and staff to show respect to all people involved, all equipment used, the environment, all vehicles, buildings used and any members of the general public. Any cost resulting from maltreatment of the aforementioned areas will be at the expense of the individual(s) responsible.

11. Misconduct

Abuse or causing distress to others or loss/damage due to negligence and misconduct of participant/participants, will result in repair / full replacement costs covered by the individual in question and not the responsibility of TIME4EXPERIENCE. 

Misconduct which is deemed to be excessive or serious by TIME4EXPERIENCE staff may lead to exclusion from activities / accommodation / courses without refund.

Anyone under the age of 18 must be accompanied by a parent/ legal guardian/ responsible adult known to the family.

12. Cancellation Policy

We will do our best to accommodate rescheduling, however cancellation charges apply.

31 days or more before your Experience, Course or Event

- Administration Fee (%10 of total cost of Experience, Course or Event)

30-8 days before your Experience, Course or Event 

- Fee (50% of total cost of Experience, Course or Event)

7-0 days before your Experience, Course or Event

- No Refund (%100 of total cost of Experience, Course or Event)

 

13. Forms

The person booking is responsible for the completion and return of all necessary documentation required by TIME4EXPERIENCE on behalf of all participants, before anyone can participate in any Experience, Course or Event.

14. Photographs, Marketing & Social Media

It is assumed that any photos that are shared with time4experience, or where time4experience has been tagged in them, through platforms such as text messages, WhatsApp, Messenger, Instagram or Facebook,  are permitted to be used for marketing purposes by TIME4EXPERIENCE.  

TIME4EXPERIENCE will potentially use photos or videos taken from your experience to use for marketing purposes. You can opt out from this in your booking form.

15. Service and feedback 

We want you to enjoy your Experience in the outdoors to its fullest, although if you are dissatisfied with any aspect of the service provided by T4X please inform us at your earliest convenience and we will endeavour to resolve the issue and take any appropriate, necessary action, where possible.

16. Accommodation

Only a selection of our Experiences, Courses, or Events include accommodation. It is the participants responsibility to confirm what is included prior to booking.

We strongly advise that you reserve your own suitable accommodation as soon as you have confirmed your booking with us, as at peak times this can prove difficult to find in North Wales. 

We may be able to offer a variety of helpful suggestions to support you in this if you are having difficulties.

17. Open Experiences

Open Experiences require a minimum number to run, and are made up of people you may or may not know from a wide spectrum of ages, experience and ability levels. 

TIME4EXPERIENCE will do their best to group people of a similar ability and that share similar goals as reasonably possible.

If a trip fails to run due to insufficient numbers we can transfer your booking to another date or you can request a refund.

18. ‘Be Safe, Tread Lightly, Be Kind…’

In line with the Snowdonia National Park Authority’s recommendations,  of ‘Be Safe, Tread Lightly, Be Kind…’. We operate a ‘leave no trace’ approach. Any litter is taken home with us or kept with us until it is possible to dispose of it responsibly.

19. Force Majeure

Except where otherwise expressly stated in these conditions, we cannot, and will not accept liability or pay compensation where the performance or prompt performance of our contractual obligations is prevented or affected by, or you otherwise suffer any damage or loss, as a result of “force majeure”. For the elimination of doubt, in these conditions, “force majeure” means any event which we, or our subcontractors and anyone else connected to the provision of your Experience, could not, even with all due care, foresee or avoid. Such events include, but are not limited to, war, threat of war, riot, civil strife, terrorism, industrial disputes, natural disaster, adverse weather, fire, etc.

 

20. Transport

The client/ participant is responsible for checking the details of their booking, to see if transport has been organised by TIME4EXPERIENCE or needs to be independently organised.
